This inspection checklist can be used to audit how the reservations are being carried out at hotels and vacation rentals, by evaluating the responses of the reservationist.

Standard Evaluated

1. When calling to make a reservation, was the phone answered before three rings? (If more than three rings, then it is a NO)

2. Did the staff member answer the phone with, "Thank you for calling [OUR HOTEL], my name is [NAME]. How may I assist you?”

3. Did the staff member ask about dietary restrictions or special occasions when booking the reservation?

4. Was the reservation 24-48 hours confirmed prior to you arriving or upon arrival at the hotel?

5. Did the staff speak in a professional manner? Was the tone pleasant and pace appropriate?

6. Did the reservationist ask for your email address?

7. Did the reservationist address you by last name after you provided it? And, did they confirm the spelling of it?

8. Did the reservationist confirm the reservation date and time before closing the call?

9. Did the reservationist close the call by thanking you and then offering a further comment, such as, "Thank you, we look forward to seeing you soon"?
